At the moment, there isn't a true "archive app" feature in Build. If an app is no longer in use but needs to be retained for historical purposes, the available options are:
- Leave the app as-is. Remove user permissions so that no new work can be created, but existing in-progress documents (Drafts, Action Lists, etc.) will continue to exist and remain visible where applicable.
- Have users withdraw their own documents. This is practical for a small number of records but isn't feasible when there are hundreds of documents or the app has been inactive for a long time.
- Advance documents through the workflow. A super admin can move documents to a completed workflow state (for example, using Skip to Approval), removing them from active work queues. However, this is also impractical for large volumes of documents.
- Withdraw via the API. While there is a withdrawal API, it requires the request to be made as (or on behalf of) the user who owns the document. There is currently no administrative bulk-withdraw capability.
- Move the app to a new space for archived apps. You could create a new space specifically for housing archived apps like this, and move it to this location to keep it out of the list of other apps within the space.
