Ability to Deny or Send Back Documents in Workflow
The ability to send back or deny a document in workflow is a powerful function and it may not be desired in all apps or workflow steps. Now you have the option to disable the deny and send back options for a given app or at particular workflow steps.
How Do I Disable Deny and/or Send Back?
This can be configured in the Workflow Settings of an app which is applied for all steps in the workflow:
Alternatively, you can override this at individual steps within workflow if you want particular steps to behave differently. The option to disable the Deny and Send Back is available in Approval steps and the option to disable Send Back is available in Task steps.
Can I Disable Send Back or Denial For Just One Step?
Yes. Each step will have it's own settings to disallow denial or send back individually. By updating the setting at the step level, you are overriding the workflow setting that was enabled.
The wording of the step will be equivalent to whatever wording was defined at the workflow settings level. For example, if "Disallow approvers to deny submissions" is disabled then when accessing a workflow step it will say "Disable ability to deny". If the workflow setting is enabled then the setting on the workflow step will say "Enable ability to Deny (Override Workflow Settings))".
What Happens If I Override a Workflow Setting?
When you override the deny/send back settings on an individual step it will no longer use the settings set up for the workflow. Even if you change the individual step settings back to be the same as the workflow settings it will still not be impacted by changes made to the workflow settings.
How Do I Know if I Have Overridden Step Settings?
If you override step settings it will display a override icon on the step itself, indicating that the settings are not updating based on the workflow settings anymore. For Send Back override it will show a return arrow icon on the step and for Deny override it will show a circle crossed out icon on the step:
If I Change One of These Settings Will it Impact Any Proposals Currently in Progress?
No. These settings will only impact documents submitted to the workflow after the setting has been changed and the workflow is published.
What Settings Will be Enabled by Default?
When you create a new app both settings will be enabled by default so the Deny and Send Back options will be available in the document.
