While it is possible to save document information in CSV and plain text file format in Kuali (see the Exporting Data From My Documents article), you may wish to save your documents as a PDF. Below are instructions on how to do that.
Note: Please note, app admins will have access to the export option when enabled or those with the read permission in the app.
- In order to export a document to a PDF, you need to ensure that the form setting Allow the exporting of documents in this app has been enabled. See Available Form Settings.
- To export data from one form to a PDF, navigate to the completed form. You can get there easily by clicking on the form in the Document List.
- Once you are on the document page, click Export from the top right side menu options.
- This will allow you to choose if you want to download the document, the workflow history, the workflow comments, or a combination of any components. Select which items you want to download by checking the boxes and click Export. A PDF file with the data will be downloaded.
Note: Attachments uploaded within the form will be clickable links within the PDF so the attachments can also be accessed within the file.
Note: All information within the form will be included in the exported PDF; including Sections marked 'Office Use Only'.
Quick Tip! It's also possible for System administrators to set up an integration to hit a service that calls the system to trigger PDF exports in order to archive forms in campus Enterprise Content Management systems. While this option is available, you do need to have the tech know-how to set up the integration and create the API calls. Visit your GraphQL playground (https://{yourdomain}.kualibuild.com/app/api/v0/graphiql
) to see the mutation for exporting a PDF.
