A Space is a way to group together the apps for a particular department or group, allows you to distribute the management of everything within a Space so that users can manage the settings for their own apps.
Spaces are part of the enterprise license for Kuali. Only customers with an enterprise license will have access to create Spaces, however, all customers will have access to the Home Space. Customers without an enterprise license will have the My Apps and Shared with me sections will be combined into a Home section.
Admins will only be able to access Spaces if they are a Space Administrator. Kuali System admins will need to define the Space Administrators in order for them to manage the settings.
To access Spaces:
- Click on the Suite Menu icon (
), and then navigate to Spaces & Settings.
Within Spaces you will find two rows of tabs. The first row switches between the Spaces or Permissions, and within Spaces, an additional four tabs are available that contain different settings:
General
Allow for the configuration of the Space Name, Space Administrators and Members, and permissions for Child Spaces.
Space Administrators
Space Administrators can manage the permissions, integrations, and branding for a Space and all of its children Spaces.
- To add a user, Group, or Role as a Space Administrator, click into the search bar and begin typing. Selected users will be listed below the search.
Space Members
Space Members will have the ability to create new apps within the Space.
- To add a user, Group, or Role as a Space Member, click into the search bar and begin typing. Selected users will be listed below the search.
Child Permissions
Child Permissions will apply to Spaces created within a Space. For example, if you created a Space for the College of Business, and another Space within it to house the Accountancy department, then the Accountancy department would be a Child Space of the College of Business.
- Select the first checkbox to allow Child Spaces to be able to customize their own branding. If this checkbox is not selected, the Child Spaces will automatically inherit the branding from their parent Space.
- Select the second checkbox to allow Child Spaces to be able to manage their own Integrations.
Apps & Links
Displays the apps and links that have been created within the Space, and allows them to be moved from one Space to another. The apps are the forms created/published within Kuali and the Links area allows you create custom external links to display at the top of the Space page.
Links can be added to your space to external resources commonly used by your end users (i.e other local institutional systems or sites). To add external Links to your Space you can click the +Add Link button to add the Title that will display, url, description (not required), and upload an image for the link:
Once added the links will appear at the top of the space that can be clicked by end users to more easily access relevant external links:
Within the Apps & Links tab, you will be able to see all Apps and Links within the Space, and move Apps between spaces. To move an App or Link to a different space, select the app or link and then click Move Selected, and select the Space you would like to move it to.
Note If the Space does not have any apps it will only be visible to System Admins and Space Admins. Users without Admin permissions will not have access to the Space and the Space will not appear in their sidebar. Users will have access to the Space, once they are given permission to an app within the Space.
Integrations
Allows admins to define API integrations for each individual Space as well as the home Space. Integrations can be create to pull and post information from other systems that can be utilized in Kuali apps (i.e. pulling data from your HR or Financials system). Branding
Allows admins to define the branding for each individual Space as well as the home Space. This includes colors and images used throughout apps in the space (including emails sent from these apps). More information can be found in the Branding article.
