Welcome to the Kuali Build family! We're so excited you're here.
As a reviewer in Kuali Build you have been requested to approve or acknowledge a submitted form in an application (app) your institution has created. (An app comprises a form, its associated workflow, and the data that is submitted.)
This guide will walk you through the basics of finding your incomplete assignments, approving or acknowledging a submitted form, and seeing where a form is at in the workflow along with any comments added by previous reviewers.
- Where Do I Find My Incomplete Assignments?
- How Do I Approve, Acknowledge, or Complete a Task on a Form?
- Where is a Form in the Workflow Process, and How Can I See Comments Made by Previous Reviewers?

Where Do I Find My Incomplete Assignments?
If you have been designated as a reviewer (approver or acknowledger or to complete a task) on a Kuali Build form, you will be notified by email when you have a submission to review. You can begin reviewing the submission by clicking on the link in your email. You can also login to Kuali Build and view your Action List to check out any incomplete assignments you may have.
How Do I Approve, Acknowledge, or Complete a Task on a Form?
When assigned an Approval you will be able to approve, deny, or send back the submission to the submitter or a previous reviewer. Approvals typically pause all other steps in a workflow until a decision has been made.
When assigned an Acknowledgement you will simply be able to indicate that you have seen the form. Unlike an approval, an acknowledgement does not pause the workflow until the submission has been reviewed. The workflow process will continue on with any subsequent steps.
When assigned a Task you will need to complete the necessary field(s) as instructed in the email and then take the Complete action in the document once ready. Task steps will pause all other steps until the Task has been completed.
Click on the link in your email or on the form in your Action List to review the form and approve, complete the task, or acknowledge the document.
Where is a Form in the Workflow Process, and How Can I See Comments Made by Previous Reviewers?
There may be times throughout the workflow process where you want to understand where a submission is at in the workflow process. You may also want to view any comments made by previous reviewers. The Workflow Status section found on the completed form can give you all that information.
Available Admin Actions During Workflow
As a System Admin or App Admin when entering a document via the Document List of an app you also have additional superuser options when reviewing the Workflow Status. Specifically you will have the below options:
-
Skip - You can skip/bypass the current step so it will go to the next step in the workflow.
Note: The skip action bypasses form validations so if there are required fields for the given step they won't be required to complete before the skip action is taken. Please update the necessary fields in the form as appropriate before using 'skip'. - Reassign - You can reassign the current step to another user to take action and they'll be notified to take action.
- Resend Notification - You can resend the notification to prompt the users again.
- View Step - It will take you to the exact step in the workflow of the form as reference.
